Purpose
The vision of Disciples Church is to significantly impact the greater Springfield area with the transforming grace of the Gospel by following Jesus and making disciples – to the glory of Almighty God.
Members of Disciples Church seek the heart of Jesus through a personal relationship with Jesus; that, in turn, leads to our being His hands in Greater Springfield and beyond. Indeed, it shapes everything about our lives, how we live each day, how we love other people, and how we serve those around us, all of which we do in Jesus’ name.
To fulfill this Christian commitment to serve, following the example of Christ, Disciples Church Springfield (DC) will make its facilities at Spring Lake Village available to church and service groups both inside and outside of our congregation. The facilities may be used by non-member groups and individuals as outlined in this policy. DC regards this non-member use as part of the church’s service to the community. The church’s Administrator reserves the right to consult with the Elder Board as to whether or not a group may use its facilities. Use of church facilities by outside groups on a regular basis must receive the approval of the Elder Board.
Building Use
Applications to use of the church facility shall always be made to the Administrator who will confirm a booking once it has been accepted.
This policy will outline who may use the facility, rules for use of the facility, and fees and deposits for building use. Background information and references beyond that described in this policy may be requested if needed.
The following guidelines are set forth for building and facilities usage:
Who May Use The Church Building (in order of priority)
1. DC church groups or church members using the facilities as part of the ministry of the church. This would include those supported by the Church such as the Greater Springfield Combined Churches, the Fellowship of Independent Evangelical Churches and the Acts 29 Church Planting Network. No charge.
2. Groups that come as invited guests of the congregation of Disciples Church Springfield. No charge.
3. Service and charitable not-for-profit organisations (Hospice, Blood Banks, etc.) will be considered for use without charge for short-term use only.
4. Social, civic, educational, and non-service groups, or individuals may use the church building for a fee (See Fees below). These fees may be reduced or waived at the discretion of the Elder Board.
5. DC church members may reserve church facilities per the approval process. (See Fees below).
Who May Not Use The Church Building
1. Partisan political groups.
2. Groups/businesses operating for profit.
3. Organisations whose activities, in the sole opinion of the Elder Board, are in conflict with the mission and doctrine of Disciples Church Springfield.
Procedures and Guidelines for Booking Facilities
1. Potential groups wishing to use church facilities should contact the Administrator to be sent the Building Use Application Form (online form).
2. Scheduled meetings of DC will take precedence over all other requests.
3. Member and Non member groups and individuals will be assigned a church officer for the event, although this may not be required if an A/V Technician is booked for the event. (See Fees)
4. The Administrator, under the authority of the Elder Board, will approve requests for building use. Those approved for building use will subsequently need to submit the Building Use Contract and submit a Public Liability Insurance Certificate of Currency when fees are paid.
5. Responsible adult supervision must be with the group at all times when facilities are in use.
6. All minor children must be supervised by an adult.
7. Smoking and non-prescriptive drugs are prohibited in the building.
8. Alcoholic beverages will not be permitted in the church building for non-church functions.
9. As a general rule, facilities may not be reserved more than 30 days in advance, except for weddings (see separate policy on weddings).
10. Public Liability insurance (minimum $10-million) will be required by non-members conducting business unrelated to DC on church property.
11. Should the individual/organisation not have public liability insurance, an event insurance policy (minimum $10-million) must be purchased.
Use of Equipment
1. Any use of audio-visual equipment in the Church Building by non-Members and outside organisations requires a technician to be booked from CPC Productions Ipswich, or someone approved by the Facilities Manager. (See Fees below)
2. No furniture (tables, chairs, etc.) or equipment belonging to the Church may be loaned or removed from the building except for official Church functions without prior notification of the Facilities Manager and the Administrator.
Non-member groups using the facility may use tables, chairs, and lecterns, as their set- up requires, but are responsible to return all furniture and equipment to their original places.
Fees
For non-members and organisations a refundable $500 building damage deposit will be required when building space is booked. The fee is to be applied against damage if applicable but otherwise is returned to the facility user at the end of their occupancy agreement.
Fees (to defray cost of building maintenance and operation) for outside groups and non- members will be as follows:
Auditorium - $500 (half day <4hrs) or $900 (full day <8hrs)
Kids Space - $350 (half day <4hrs) or $600 (full day <8hrs)
Both Areas - $750 (half day <4hrs) or $1,350 (full day <8hrs)
These fees are exclusive of GST.
Church Officer Fee – $20 per hour (Minimum 3 hour call-out)
Audio-Visual technician fee – if any equipment other than house lights are required then the hirer is required to book a technician from CPC Productions and pay CPC directly for the cost of that technician to be on duty for the whole of the booking time.
All fees for use shall be paid in advance to Disciples Church Springfield. Some fees may be waived or reduced at the discretion of the Elder Board.
Fees will be refunded if the facilities are not available or if reservation is cancelled twenty-four (24) hours prior to scheduled usage.
